What has to be on an invoice
An invoice needs six things to be useful and to hold up if anyone questions it later: who is billing, who is being billed, a unique number, the date, what was supplied, and what is owed.
If you charge VAT, the invoice must show the amount before tax, the tax, and the total separately. A single figure with 'inclusive of VAT' beside it is not enough for a customer who wants to reclaim it.
Numbering, and why it matters
Invoice numbers should run in sequence and never repeat. Two invoices with the same number is the kind of thing that turns a small dispute into a long one, and it is the first thing an auditor notices.
Pick a format and keep it: INV-0001, or INV-2026-001 if you would rather the year was visible.
Getting it paid
The single biggest determinant of whether an invoice is paid on time is whether paying is easy. An invoice with a bank account on it is better than one without; an invoice with an account number that belongs to that invoice alone is better still, because nobody has to work out which payment was for what.
